Privacy Policy

This Privacy Policy explains how Recovery Columbus Inc. (“ROWAN,” “we,” “us”) collects, uses, and protects information in connection with the ROWAN platform and the rowanplatform.com website (together, the “Services”). It applies to the agencies that subscribe to ROWAN and to visitors of our website. It does not change the terms of any written agreement between us and a subscribing agency, which control if there is a conflict.

1. Information we collect

We collect the following categories of information:

  • Account information — names, work email addresses, phone numbers, agency details, and role assignments for the people your agency authorizes to use ROWAN.
  • Operational data you put into ROWAN — the records your agency creates or imports to run its business, such as assignments, client and lienholder records, vehicle and recovery details, photos, invoices, expenses, and accounting entries.
  • Website information — details you submit through forms (for example, the early-access waitlist), and standard technical data such as IP address, browser type, and pages viewed.
  • Usage and security logs — sign-in activity and an audit trail of changes, kept to operate the Services and to protect the integrity of your records.

2. How we use information

We use information to:

  • provide, maintain, secure, and improve the Services;
  • authenticate users and enforce permissions;
  • respond to support requests and communicate with you about your account, including service and security notices;
  • follow up on early-access and sales inquiries you submit to us; and
  • comply with legal obligations and enforce our agreements.

We do not sell your information, and we do not show third-party advertising in the Services.

3. Your agency's data belongs to your agency

The operational data your agency enters into ROWAN is yours. Each agency's data is logically separated from every other agency's, and ROWAN staff access it only as needed to operate the Services, provide support you request, or as required by law. When you act as a service provider to a lender or other client, you remain responsible for the data you process on their behalf under your own agreements with them.

4. How we share information

We share information only as needed to run the Services: with vendors who process data on our behalf under confidentiality obligations (for example, cloud hosting, email delivery, and payment processing); when you direct us to (for example, connecting an outside system you choose to use); to comply with law or valid legal process; and in connection with a business transaction such as a merger or acquisition, subject to this Policy.

5. Security

We use administrative, technical, and physical safeguards designed to protect information, including encryption of particularly sensitive fields (such as government identifiers), access controls and per-user permissions, and a tamper-evident audit log of changes. No system is perfectly secure, but we work to protect your records and to keep an accurate history of who changed what and when.

6. Data retention

We retain information for as long as your account is active and as needed to provide the Services, and afterward as required to meet legal, accounting, audit, and dispute-resolution obligations. Within ROWAN, deleting a record marks it inactive and records who did so and when, rather than erasing its history — this protects the integrity and defensibility of your business records.

7. Your choices and rights

You can update your account information from within ROWAN or by asking your agency administrator. Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you. For operational data inside ROWAN, please direct those requests to the agency that controls the account; we will support that agency in responding. 8. Changes to this Policy

We may update this Policy as the Services evolve or as the law requires. We will post the updated version here and revise the effective date above. Material changes affecting subscribing agencies will be communicated through the Services or by email.
